How to Apostille a Diploma

Do you need to apostille your diploma?

If you are planning to work or continue your education in another country, you will be asked to apostille your diploma.

Every month we apostille dozens of diplomas from various Universities, Colleges, and High Schools located in the United States.  In order to apostille your diploma, it will first need to be signed by the Registrar and notarized. The Registrar is the official at the school who can attest to the diplomas validity and authenticity.

We can apostille diplomas issued from all 50 States and the District of Columbia (Washington, D.C.).  If your diploma originates from another country, you will need to obtain the apostille from there.  We can only assist you if your school is located in the USA.

Please follow the following step-by-step instructions on how to apostille a diploma…

Step #1: The first step is to contact the School’s Registrar and inform the Registrar that you will need the original or a color copy of your diploma to be signed and notarized.  The Registrar with either ask you to mail in the original or email a color copy. Some schools request that you purchase a new diploma. If the school does not have a notary on staff, a traveling notary can visit the school and meet with the Registrar.  You can search online and arrange for a traveling notary service to visit the school when it’s convenient for the Registrar.  Most notaries are unfamiliar with authenticating a diploma for another country so it’s best to leave the apostille process to us.  The notary must follow the proper notarial laws of their State in order for the State office to authenticate the documents.

We recommend that the school assist the notary by signing and notarizing the back of the diploma.  A statement from the registrar followed by the notarial wording is ideal.

Step #2: Once you receive your notarized diploma, go ahead and verify that the diploma has been signed and notarized.  Some schools will sign and notarize the back of the diploma while others have enough space to use the front.  The original signature and the printed name of the Registrar must be on the documents including the notary’s name, signature, date of notarization, notarial wording, and stamp.

Step #3: The final step is to mail in your documents to our office for processing.  We have created an order form and credit card authorization form for every US State.  You can find and download our order forms here: National Apostille Order Forms

Qatar Embassy and Consulate Certification

The government of Qatar has one Embassy in Washington DC and three Consulate offices located in Los Angeles, Houston, and New York City.

Certifying and legalizing documents for Qatar is a three step process.  Your documents will require State certification, US Department of State certification in Washington DC, and Embassy legalization.

For example, if your birth certificate originates from the State of Texas, your document will require Texas Secretary of State certification, Washington DC US Department of State certification, and Qatar Embassy legalization.

National Archives Apostille

Do you need to apostille certified copies of your documents from the National Archives?

The National Archives and Records Administration (NARA) is the nation’s record keeper with offices throughout the United States.

Most of our clients obtain their certified copies from the National Archives in New York.  Common documents we receive from this office is Naturalization Records and Passenger Arrival Records.

In order to apostille your documents, you will need to request a certified copy with the red ribbon and gold seal.  Once certified, this document can be mailed in to our Washington DC apostille office so we can obtain the apostille from the US Department of State in Washington DC.

Cuba Embassy Certification

Are you planning to get married in Cuba?

Do you need to certify and legalize your birth certificate, single status affidavit, and a divorce decree?

Certifying and legalizing documents for Cuba is a three step process.  Your documents will require State certification, US Department of State certification, and Embassy legalization.  For example, if your birth certificate originates from the State of Florida, your document will require Florida Secretary of State certification, Washington DC US Department of State certification, and Cuba Embassy legalization.

A certified copy of your birth certificate can be issued by the County Clerk or State Registrar.  A certified copy of the divorce decree can be obtained through the Superior Court (Family Court).

Here is an illustration to help explain the process:

The Cuban Embassy requests that all documents include a certified Spanish translation to accompany your documents.  The translation needs to be performed by a certified translator and the translator’s signature needs to be signed and notarized.  You can find a certified translator by contacting the American Translator’s Association.

Currently, the Cuban Embassy charges $300 for every document legalized through the Embassy.  If you need your birth certificate and single status certified and legalized, the Embassy will charge $600 to process these two documents.  Also, you will need to include a USPS money order payable to the ‘Embassy of the Republic of Cuba’.  Please contact us for the most up to date cost in processing your documents.  The Embassy may change their prices at any time.

Special Power of Attorney Apostille – SPA

Do you need an apostille on a Special Power of Attorney (SPA)?

In order to apostille your special power of attorney, you will first need to meet with a local notary who will notarize your signature on the document.

Once notarized, the next step is to mail in the original notarized document with our order forms to our office for processing.  A power of attorney can only be authenticated from the State the document was notarized in. The notary must be commissioned and use proper notarial wording.

The Secretary of State does not have the authority to authenticate documents notarized in other States. For example, if your power of attorney was signed and notarized in the State of California, then your notarized document can only receive a California apostille.  Another example is if your power of attorney was signed and notarized in the State of New York, then your notarized document can only receive a New York apostille.

Some States require a notarized document to also be authenticated by the County Clerk before the state will attach the apostille (two steps).  These States are: Hawaii, Kentucky, Maryland, New York, and Tennessee.

We recommend that your power of attorney be prepared by a professional from the Country requesting it. For example, if the Country of the Philippines is requesting a signed and notarized special power of attorney, we recommend that an attorney or paralegal in the Philippines prepare your document.  Some US States will not apostille a document written in a foreign language.  In order to avoid this, we recommend your documents to be written in English.

If you are located outside of the USA and need to have your signed power of attorney authenticated for a country other than the USA, you can contact the local U.S. Embassy or U.S. Consulate office and meet with a U.S. Federal notary.  Once notarized, you can then mail in this document to our Washington DC apostille office for processing.
