Do you need to apostille your Certificate of Residency? This document is also known as IRS Form 6166.

IRS Form 6166 is a letter printed on U.S. Department of Treasury stationary certifying that the company or person is a resident of the United States for purposes of income tax laws of the United States. You may use this form to claim income tax treaty benefits and certain other tax benefits.

Certificate of Incumbency Apostille

Do you need to apostille a Certificate of Incumbency?

If you run a company in the U.S., you often need to make sure that certain employees, as officers of the company, have the ability to conduct business for the company in a foreign country.

A Certificate of Incumbency is a document that specifies individuals who are officers in a corporation. A Certificate of Incumbency is an official corporate document usually issued by a corporation’s president or secretary. It lists the names and titles of all current officers within the company (for example, president, secretary, treasurer, etc), and includes a place for each officer to sign. This document can also list the Directors of the company and shareholders.

Criminal Background Check Apostille

Do you need to apostille your Criminal Background Check?

Has another country requested for you to obtain a background check issued within the past 90 days with an apostille?

Below are the most common reasons why another country would ask you to obtain an apostille on your criminal background check:

A background check can be issued by the FBI, Police, Sheriff, and State. Most all countries will accept an FBI background check with an apostille . If you have already obtained a background check, please be sure it’s been issued within the past 90 days before you mail it to our office with our order forms.

In order to apostille your background check, you must mail in the original or a certified copy to our office for processing. Digital FBI background checks can be sent by email to our Washington DC apostille office. A Background check issued from the local Police, Sheriff, or State office can only be authenticated from the State of issue. The Secretary of State does not have the authority to authenticate documents issued from another State. For example, if your background check is from the State of California, the State of California is the only state that can issue the apostille. Another example is if your background check is from New York, only the State of New York can issue the apostille.

Local Police Station Background Check – If the requesting country is requesting a local Police background check, then all you need to do is have a letter drafted and notarized by the local police department. Once your background check is ready to be picked-up, you will need to contact a local traveling notary to meet with the Officer to notarize his/her signature on the document. The notary will also need to use the correct notarial wording for the State. Once complete, mail the notarized background check with our order forms to our office for processing.

Local Sheriff’s Department Background Check – If the requesting country is requesting a local Sheriff’s Department background check, then all you need to do is have a letter drafted and notarized by the local Sheriff’s department. Once your background check is ready to be picked-up, you will need to contact a local traveling notary to meet with the Deputy to notarize his/her signature on the document. The notary will also need to use the correct notarial wording for the State. . Once complete, mail the notarized background check with our order forms to our office for processing.

Department of Justice Background Check(DOJ) – Office of the Attorney General – Obtaining a background check from the State’s Department of Justice can be a little more complicated. For example, if you are in California, you’ll need to contact the California Department of Justice (DOJ) and obtained a signed letter after you have received the digital results. The Office of the Attorney General of your State will provide you step-by-step directions. Please note that not all state offices issue a background check. They may direct you to the local Police or Sheriff.

FBI Background check – The first step in obtaining your FBI Background Check is to contact an FBI Approved Channeler. An FBI Channeler will provide you step by step instructions including sending you a fingerprint card. Once you receive your background check, you can then mail-in this document to our Washington DC apostille office for processing. If you are located outside of the country and need to obtain your FBI background check, the FBI approved Channeler will provide you instructions on how to obtain a digital copy of your FBI background check. Once you receive the digital copy, you can email it to our with our FBI apostille order forms for processing.

Pension Apostille

Do you need to apostille your Pension letter?

Are you planning to retire in another country and have been asked to apostille your Pension income letter in addition to your Social Security Income and Benefits Statement (SSA) to prove your income? Have you been offered a permanent VISA? Do you also need to apostille your FBI background check?

In order to apostille your pension income letter, you must obtain a signed and notarized copy. Please contact the company that is administering your pension and request for a signed and notarized letter attesting to your monthly benefits. If you also need to apostille your Social Security Income and Benefits statement, please contact the local Social Security office and request a signed letter. The Social Security Income and Benefits letter does not require notarization. If your pension is administered by the U.S. Federal Government, no notarization is required.

Note: Beware of web-sites that ask you to upload your documents! Only original documents can receive an apostille from the Secretary of State.

Teaching Certificate Apostille

Do you need to apostille a Teaching Certificate?

Are you planning to teach English in a foreign country and need to apostille your teaching certificate, University or College decree, FBI background check and your TEFL / TESOL certificate?

In order to apostille your teaching certificate, you will need to contact the issuer of the certificate and request that the certificate be certified with an affidavit attesting to it’s validity. A notary must notarize the signer’s signature on the document. Remember, this document cannot be attested by you. It must be attested by the issuer that has issued you the certificate (Example: Department of Education, Department of Licensing, etc….).

For example, if your teaching certificate is issued from the California Department of Education, you will need to contact them and request for the certificate to be signed and notarized.

Once this document has been signed and notarized, the next step is to mail it in to our office with our apostille order forms.
